Warehouse operations handover checklist
Handover starts before the takeover date
A transition needs to define who is responsible for each activity and when that responsibility changes. This checklist supports the initial discussion and should be adapted to the goods and site conditions.
Scope and responsibilities
Agree which tasks the partner takes over, which activities remain with the customer, who can approve decisions and who handles issues beyond the scope. Responsibilities for systems, equipment and goods should be explicit in the project agreement.
Opening inventory and exceptions
Reconcile records and physical counts using an approach agreed by both parties. Separate damaged stock, missing documentation, returns and items awaiting a decision. Record discrepancies with an owner and a resolution plan, rather than a single total.
Systems and access
Confirm role-based accounts, master data, scanning devices and a contingency plan for system interruptions. Test order receipt, document creation and dispatch recording before moving real operations.
Teams, shifts and site readiness
Assign management, execution, control and backup roles according to the workload. Confirm staffing availability, training and site safety conditions before the start date.
Trial run and takeover decision
Select a trial scope, reconciliation method, stop points and decision owner. Resolve readiness gaps before expanding. After takeover, agree a review schedule and a hand-back process for the end of the engagement.
Discuss the next step with SCO
SCO develops operating plans for customer-owned warehouse sites. Resources follow the workload, with scope and responsibilities agreed after assessment.
